Privacy policy

2. In short

This site sets no cookies, uses no tracking or analytics tools and loads no content from third-party servers. Even the fonts are hosted on our own server. We only process personal data when you send us a request or use the demo.

3. Hosting and server logs

This site and the Coach Notebook app run on a server in Germany (Strato AG, Berlin). When you visit, the server stores technically necessary information in log files: IP address, date and time, the address requested, the amount of data transferred, browser and operating system, and the page you came from. This serves the secure and stable operation of the site (Art. 6 (1) (f) GDPR). Logs are kept only as long as needed for this purpose and then deleted. We have a data processing agreement with the host.

4. Demo request

When you request a demo, we process your name, your email address, the kind of work you selected, your language and the time of your consent. We use this information to send you demo access and to write to you about Coach Notebook. The legal basis is your consent (Art. 6 (1) (a) GDPR) and steps prior to entering into a contract (Art. 6 (1) (b) GDPR). The information is stored in our own app on the server in Germany. You can withdraw your consent at any time via the unsubscribe link in every email or by emailing us. We then delete your information unless we are legally required to keep it.

5. Sending email

We send emails from the app via Mailgun (Mailgun Technologies, Inc., USA). Your email address and the content of the email are transferred in the process. Mailgun is certified under the EU-US Data Privacy Framework; the European Commission’s standard contractual clauses also apply. The legal basis is Art. 6 (1) (b) and (f) GDPR.

6. Demo access

The demo access is shared by all visitors. The people in it are invented. Please do not enter any real personal data there. Everything entered in the demo is deleted every night when it is rebuilt. Emails from the demo are not sent. When you sign in, the app sets a technically necessary session cookie (Art. 6 (1) (f) GDPR).

7. Data in the app for coaches

For coaches who use Coach Notebook, we process their clients’ data on their behalf (Art. 28 GDPR) under a separate data processing agreement. The AI features use Claude by Anthropic through its business API. Only what a task needs is sent to the AI, and the content is not used for training.

8. Your rights

You have the right of access, rectification, erasure and restriction of processing, the right to data portability and the right to object to processing based on legitimate interests (Art. 15 to 21 GDPR). You can withdraw consent at any time with effect for the future. Simply send us an email.

You can also lodge a complaint with a data protection supervisory authority, for example the Bavarian Data Protection Authority (BayLDA), Promenade 18, 91522 Ansbach, Germany.
